If your property is just starting to use Inn-Flow, adding PTO (Paid Time Off) balances takes three steps: create your PTO policies, add those policies to each user's profile along with any opening balances, and enter each employee's average hours worked so PTO accrues correctly.
Create the PTO policies first. See the Time Off Policies article for instructions.
Add the PTO policies to each user's profile, including opening balances if applicable (steps below).
Add each employee's average hours worked (steps below).
Add PTO types to users
From the Administration tab in the bottom left, select Users.
Open a user profile and go to the Labor tab.
Scroll down to the Paid Time Off toggle and turn it ON.
4. Select Add PTO Type.
5. Choose the PTO type from the PTO Name drop-down menu.
6. Set the PTO Start Date – typically the start date of the first pay period or the user's hire date – then click Save.
7. Once saved, enter an adjustment if an opening balance needs to be added. Click on the PTO type to open it.
Select Add PTO Adjustment.
Enter the Adjustment As Of Date, the Hours : Minutes to be added, and an explanation or note. This is entered in HH:MM format, so if your PTO balance is in decimal format, convert it to HH:MM first.
Select Add Adjustment.
The PTO becomes available to use as of the date entered in the adjustment. To add more PTO types to a user, repeat these same steps.
Average hours worked
If you are just starting out, add an average hours worked value so employees earn PTO based on their prior hours worked. From the same Labor tab in the user's profile, enter the Average Hours Worked.
Inn-Flow uses the Average Hours Worked field to determine whether an employee meets the criteria to accrue PTO under that PTO type's settings.
