How Do I Edit a Shift After the Day Is Approved?

To edit a shift on a day that has already been approved within the current pay cycle, you must have the Manage Approved Actuals permission. Editing an approved day this way puts the day back into the Pending Approval state so it can be re-approved.

If your role only has the Manage Unapproved Actuals permission, you can still edit an approved shift, but the change goes through the Timesheet Dispute process, which requires someone to approve the change before it becomes live.

Related Permissions

  • Manage Unapproved Actuals – edit shifts that are not yet approved.

  • Manage Approved Actuals – edit shifts that are approved. This puts the day back into the Pending Approval state.

  • Manage & Re-Export Actuals – edit shifts that are approved when payroll was already exported, then re-export to your payroll processor once edits are complete. This option is available only up to 10 days after a pay period ends. After 10 days, the only way to edit a shift is to create an adjustment (see below).

  • Create Adjustment of Exported Actuals – edit shifts that are approved and already exported when payroll cannot be re-exported because it has already been processed. The edited hours are added as an adjustment to the next active pay period. For example, use this when an employee realizes a shift was missing or their time was incorrect after payroll processed. This adjustment does not affect overtime.

Edit the Shift

  1. Go to the Timesheets tab.

  2. Select the week that contains the day you need to edit.

  3. Use the Search bar to find the user you need to update.

4. Select the employee's name.

5. In the Details by Day section, change the In or Out time, select Add Entry to add another shift, select Add Break, or select the ellipsis on the right to add a Split Shift.
