Follow these best practices when setting up and processing payroll.
Print a sample payroll check before your first payroll. Confirm the routing and account numbers are formatted correctly at the bottom of the check. A sample check is attached to this article for printing.
Give your Payroll Agent a starting check number that is different from your Accounting starting check number. Keep a clear distinction – for example, if Accounting starts at 1000, set Payroll to 200.
Have the required information ready before processing the first payroll: State Tax IDs (for example, SUTA ID), tax rates (for example, SUTA and local tax rates as applicable), and logins for the payroll tax processing websites.
If you are transitioning mid-year, supply all prior payroll reports at least 5 business days before the first pay date. Missing reports can delay the initial pay date or direct deposit, or cause inaccurate tax calculations.
