Low Security Users

The Low Security Users setting is intended for users who need password reset assistance and who maintain low levels of access to the application. This guide walks through enabling the feature and resetting a low security user's password.

Set up Low Security Users

  1. Click Administration on the bottom left.

  2. Select Roles & Permissions.

3. Click the Special Permissions tab. This will prompt you for two-factor authentication (2FA) – a second identity check in addition to your password. Click Continue.

4. A code will be texted to you. Enter it into the boxes and click Verify.

5. Once verified, scroll to Manage Low Security User Roles at the bottom of the list. Search for a user and click Add User. The user you add here is the one who will *manage* low security users.

6. Users added to this permission appear in the list below. You can also delete users who no longer need the permission here.

7. Click the triple-dot menu at the top right and choose Edit Low Security Users.

8. The Password Assistance Roles box appears. Add every role that should be able to manage low security users. Any role you add here must have permission to cover all roles and entities – an entity is a legal company or property that Inn-Flow tracks data for – such as Administrator. Then click Save.

9. Return to the Roles tab and choose the roles you want to add low security users to. Enable this by turning on the Low Security Role option.

10. Once enabled, you will receive a warning message asking you to confirm the setup of Low Security Users for that role.

11. It is recommended that you create a new role for Low Security Users rather than enabling this on an existing role.

Reset a Low Security User's password

  1. The administrator resets the password by navigating to Administration, then Users.

  2. Search for the user whose password you want to reset.

  3. Click the triple-dot menu on the right and select Reset Password.

4. In the Reset Password box, select the Password Assist User and the Method of Delivery.

5. Select the preferred method and click Send.

6. You will receive a link to reset the password.

7. Following the link opens the Create New Password page.

8. Create a new password for the low security user and click Continue.

9. The password is now reset. The low security user can log in with their new password.
