Bank Sync: Manual Statement Import

Overview

This article explains how to use the Manual Statement Import feature in the Bank Sync page of Inn-Flow. This feature is designed to help clients whose banks are not fully supported by Plaid, allowing them to upload bank statements and reconcile transactions manually with ease. This is available for all types of accounts (Operating, Miscellaneous, Payroll, and Credit Card).

Prerequisites

To utilize the manual statement upload feature, the client will need our Advanced Accounting Subscription and users will need permission to the Bank Sync Page for that account type within Administration > Roles and Permission.

The Benefits of Manual Statement Uploads

  1. Time Efficiency: Automating the process of importing transactions from your statements saves you significant time compared to manual entry, allowing you to focus on other important tasks.

  2. Flexibility: The ability to manually upload statements provides flexibility for clients whose banks are not supported by automatic sync features, ensuring that all transactions can be included in the system regardless of bank compatibility.

  3. Custom Mapping: The option to create and reuse mapping rules allows you to streamline future uploads, making the process quicker and more consistent.

  4. Improved Reconciliation: With accurate and complete transaction data, reconciling your bank transactions with invoices becomes more straightforward, reducing discrepancies and enhancing financial accuracy.

Getting Started

1. Log in to Inn-Flow and navigate to Accounting > Bank Sync.

2. Use the Select Account Name dropdown to choose an account. The dropdown separates Synced Accounts (connected via Plaid) from other accounts.

Note: If a user has no synced accounts or if all accounts are synced, the accounts will not be displayed in separate sections. In such cases, the dropdown will simply list the available accounts without dividing them into "Synced Accounts" and "Other Accounts."

The buttons in the top right change based on your selection:

  • No account selected – Only the Bank Sync button is visible.

  • Synced account selected – The Manual Statement Upload button is not available.

  • Non-synced account selected – Both the Bank Sync and Manual Statement Upload buttons are visible.

Upload Your Statement

3. Click the Manual Statement Upload button. The upload modal appears with a step-by-step guide.

4. In the Choose Mapping Rule dropdown, select an existing mapping rule or create a new one. If creating a new rule, enter a name (required, max 50 characters, must be unique).

5. Upload your file by dragging and dropping or using the file selector. Supported formats: CSV and Excel (.xls).

6. Click Next to proceed to column mapping.

Map Your Columns

The column mapping interface displays the first 5 rows of your uploaded file. Click Show 5 More Rows to see additional data.

7. Use the dropdown above each column to assign it to an Inn-Flow field.

8. Complete all required mappings, then click Next.

Available Inn-Flow fields:

• Amount

• Check No.

• Credit

• Debit

• Date

• Description

• Custom Field – Use for additional data such as Authorized User on AmEx statements.

Review and Import

After mapping, the system checks for previously uploaded transactions by comparing date, amount, and description.

  • If duplicates are found, you will see a notification. Duplicate rows are highlighted and sorted to the top with checkboxes for selection.

  • Only mapped rows appear in the review. The Check/Type column is auto-filled.

  • The table is scrollable for large datasets.

9. Review the transactions and deselect any duplicates you do not want to import.

10. Click the Import button to finalize. A toast message confirms a successful import.

After Import

Once imported, all standard Bank Sync functionality is available for your manually uploaded transactions, including matching, reviewing, confirming, and reconciling. Any reconciled duplicates are automatically moved to the Completed filter.

To identify a manually uploaded account, look for the last manual upload timestamp displayed on the account. Synced accounts display bank sync connection info instead.
