The Bank Sync feature allows users to create draft transactions for bank entries that do not have a matching invoice directly from bank entries.
Prerequisites
Users must have the necessary permissions to access Bank Sync and AP Inbox.
Adding a draft transaction is not available for miscellaneous accounts or deposit transaction types on payroll or operating accounts.
Access Bank Sync and Select an Account
1. Log in to Inn-Flow and navigate to Accounting in the left main navigation.
2. Select Bank Sync.
3. Select the EHID you want to add a transaction for.
4. Use the Select Account Name dropdown to choose the account you need.
Locate the Transaction and Add as Draft
5. Review the list of transactions on the Bank Sync page.
6. Expand the row of the desired transaction by clicking the arrow next to the date.
7. Navigate to the Add tab if the transaction is not found under the Review or Find tab.
8. Click Add Transaction and select Draft Transaction from the dropdown.
Enter Transaction Details
In the slide-out panel, fill in the required fields:
• Vendor (required to save as draft)
• Account
• Type
• Accounting Period
• Transaction Date
• Notes (optional)
The vendor field must be filled out to enable saving the invoice as a draft. Once a vendor is entered, the Mark as Paid toggle will be turned on and locked.
Choose your action:
• Save Draft – Saves the invoice for further editing or approval. The invoice is sent to AP Inbox.
• Primary Action Button (green) – Based on your bypass rules, this will display Send to Approval, Send to Payments, or Post Transactions.
After Saving
Based on the action you selected, the transaction will appear in the AP Inbox, Invoice Approvals, Payments page (under Accounts Payable), or the Register page (under Banking).
Matching Draft Transactions in Bank Sync
Bank Sync matching logic includes transactions in draft, awaiting approval, and awaiting payment states.
• Find tab – Search for matching transactions across all accounts associated with the EHID. Transactions display a gray badge indicating their status: Draft, Awaiting Approval, Awaiting Payment, or Register.
• Review button – Appears when more than one match is found for a bank transaction.
• Confirm button – Appears when a single match is found.
Expanding a transaction and going to the Review tab shows matched items. The closest match is selected by default when more than one is found.
Note: If a matched transaction is still in draft, awaiting approval, or awaiting payment, the Confirm button will be visible but grayed out. Hovering over it displays: "This transaction exists in Inn-Flow, but has not processed through the AP workflow and cannot be reconciled."
